How to Digitize Your
EMS Protocol Book
Most EMS agencies are still running on printed binders and static PDFs. Here's how to go from paper to a fully searchable, offline-capable protocol app on every crew phone — in under 24 hours, without an IT department.
Before vs. After
The Setup Process — Step by Step
Get your protocol PDF
You need a digitally-generated PDF of your current protocol book. If you only have a scanned copy, request the original file from your medical director or state EMS office — most have the source file available.
Create your MedicDex account
Sign up for a department account at medicdex.com. You'll get access to the admin panel immediately. No credit card required to start a trial.
Upload your protocol PDF
In the admin panel, go to Upload Protocol and drag your PDF into the upload zone. MedicDex uses AI to read every page — extracting every section, drug, dose, route, and contraindication automatically. No manual data entry.
Review and publish
When parsing is complete, you'll see every extracted section with page references, and every drug with doses, routes, and contraindications. Review them, fix anything using the Drug Editor, and hit Publish.
Share one link with your crew
Go to Share with Crews. Copy the crew link (it looks like medicdex.com/crew.html?dept=yourname). Send it in a group text, email, or post it in your department's group chat. Crew opens it in any browser — that's it. No app download, no account creation.
What Happens When Protocols Are Updated
This is where digital protocols really shine. When your medical director updates the protocol book:
- Upload the new PDF to MedicDex
- AI re-parses it automatically — catching every change
- Review changes and hit Publish
- Every crew member's app updates immediately — no action needed on their end
No reprinting. No distributing new binders. No hoping crews remembered to swap out old pages. The update happens silently in the background — next time they open the app, they have the new protocols.
Common Questions About Going Digital
What if the PDF is a scanned document?
MedicDex works best with digitally-generated PDFs (exported from Word, InDesign, or similar). If your protocol book was scanned from paper, contact us — we can discuss options for OCR processing or manual upload workflows.
Does it replace our official protocol book?
No — and it shouldn't. MedicDex is a reference tool. Your official protocol book remains the authoritative document approved by your medical director. MedicDex makes that content searchable and accessible in the field, but does not replace the official document or your medical director's authority.
What about HIPAA?
Protocol books don't contain patient health information, so HIPAA doesn't apply to the protocol content itself. MedicDex uses encrypted storage and row-level security to protect department data. We never store patient information.
Can different crews see different protocols?
Yes. Each department gets its own isolated protocol environment. Multi-agency plans support up to 3 separate departments with their own protocols, crew links, and admin access.
What if there's no cell signal on a call?
MedicDex caches the entire protocol book locally after the first load. Everything — search, drug calculator, cardiac arrest manager — works 100% offline. No signal needed during a call.
